What we collect

Enquiry forms collect your name, email address, the reporting work you selected, an optional workshop count, and your message. During an engagement we may hold the name and work email of the aftersales contact, visit induction records, and whatever personal data remains inside job-card extracts you send. We ask you to redact customer names and telephone numbers where you can.

Why we use it

We use enquiry data to reply and to prepare a quote. We use engagement data to write the pack or note you commissioned and to invoice. The legal bases are steps prior to a contract, performance of a contract, and our legitimate interest in running a small reporting practice. Where we rely on consent for analytics cookies, that consent is separate and is recorded through the cookie banner.

Retention

Unsuccessful enquiries are deleted after eighteen months. Paid engagement files, including extracts you have not asked us to destroy, are kept for six years after the final invoice to meet accounting and dispute needs. You may ask for extracts to be deleted sooner where no legal duty requires us to keep them.

Your rights

You may ask for access, correction, deletion, restriction, or objection, and you may ask for a copy of data you provided in a portable form. Write to hello@service-routebase.click. You may complain to the Information Commissioner’s Office in the United Kingdom.

International transfers

We store working files on computers in the United Kingdom. If an email provider processes mail outside the United Kingdom, we will use a provider that offers an appropriate safeguard recognised under United Kingdom data protection law. We do not sell personal data.

Sharing

We share data with an accountant for invoicing, with insurers if a claim requires it, and with authorities if the law requires it. We do not pass VIN lists to other dealers.
